Certificate of Insurance for Landscapers

A client or GC is asking for your certificate of insurance. Here's what it is, what it needs to show, and how to get one fast โ€” sometimes the same day.

โœ“ Same-day coverage typically available โœ“ Instant COI after you bind โœ“ Independent agency โ€” multiple carriers โœ“ Licensed agents

What a COI Actually Is

A certificate of insurance is a one-page summary of your active coverage โ€” carrier name, policy numbers, coverage types and limits, effective dates, and who's named on the policy. It's proof coverage exists, not the policy itself.

Property managers, HOAs, GCs, and municipalities ask for one before letting you set foot on a property. It's how they confirm there's coverage in place if something goes wrong on the job.

What a Landscaper's COI Shows

  • Named insured โ€” your business name exactly as it appears on the policy
  • General liability limits โ€” per occurrence and aggregate
  • Policy dates โ€” current effective and expiration dates
  • Certificate holder โ€” the property manager, GC, or client requesting it
  • Additional insured โ€” if the requesting party needs to be named on your policy
  • Description of operations โ€” sometimes includes contract-specific language, like whether snow removal or chemical application is covered

Why HOAs and Property Managers Ask Before the Season Starts

Many residential communities and commercial properties require a COI on file before your first mow of the season, not just before a one-time job. If you service multiple properties under the same management company, it's worth confirming early in spring whether they need a fresh certificate โ€” waiting until a property manager asks can delay the start of a contract you were counting on.

Snow Removal Contracts Often Need Their Own COI Request

If you add snow and ice removal for the same or different clients in winter, don't assume your existing summer landscaping COI automatically covers it. Some property managers request a separate certificate confirming snow and ice operations are included, since it's a distinct exposure from mowing season โ€” see our commercial coverage page for how snow work changes the underlying policy. Flag this when you request a certificate so the description of operations reflects it.

How Fast You Can Get One

Once you're bound with us, your COI is issued instantly โ€” ready to send the same day you need it. If a job starts tomorrow, same-day coverage is typically available, so fill out the quote form and our agents will move quickly.

What an Additional Insured Actually Means

An additional insured โ€” usually a GC, property owner, or property manager โ€” is added to your GL policy and gets some of the same protection you carry. If a claim arises from your work and names them, your policy responds on their behalf too. Most GCs and property managers require this before you can start. We can add specific additional insureds on request, or set up a blanket endorsement that covers any client automatically.

What GCs and Property Managers Typically Require

  • General liability at $1M per occurrence / $2M aggregate minimum (some require $2M/$4M) โ€” see our GL page for what this actually covers
  • The requesting party named as additional insured
  • A waiver of subrogation
  • Primary and non-contributory language on larger commercial contracts
  • Workers' compensation if you have employees

How to Request One

Once you're a client, just send us the certificate holder's name and address, plus any specific language required โ€” including whether snow removal or chemical application needs to be reflected. We issue certificates quickly so a paperwork delay never holds up a job.

FAQ

Common questions

Does my COI need to specifically mention snow removal?+

If a property manager is requesting it for winter services, yes โ€” some want the description of operations to explicitly reflect snow and ice work rather than just general landscaping. Tell us when you request the certificate.

Do I need a new COI for every HOA property I service?+

You need a certificate naming each requesting party as certificate holder or additional insured, but it's issued off the same underlying policy โ€” we can turn around multiple certificates quickly once you're bound.

How much does a COI cost?+

Certificates are free to issue โ€” there's no charge for a COI. What you pay for is the underlying insurance premium.

Can I get a COI the same day I bind coverage?+

Yes. Once you bind, your COI is issued instantly. Same-day coverage is typically available, so you can often have both a policy and a certificate the same day a job requires it.

What if a property manager requires specific contract language on the certificate?+

Common โ€” just send us the exact language required when you request the certificate and we'll make sure it's included.
